Welcoming, present and proxies

The meeting opened at 14:04. Willie van Schoor welcomed all attendees. 39 members were present at the meeting, with 19 proxy nominations.

Approval of the minutes of the previous AGM

Approval proposed by Duke Metcalf, seconded by Shirley Bezuidenhout.

Matters arising

There were no matters arising from the previous AGM’s minutes.

Chairman’s report

General

The tennis club had a successful year. Willie made the point that the club is its members. Willie also welcomed the South Peninsula Tennis Academy to the club.

Thankings

Willie thanked the following members for their contributions to the club this year:

      • Jeff Lewis for his invaluable contributions to the club.
      • The committee: Mila Fourie, Jeff Lewis, Anje Zeeman, Ethan Seymour, Karen Starke, Sue Wilkes, and Blaise Whitney.
      • Sian Williams, Ruan Jooste, Angie Muller, and Chris Hendrikz for their contribution towards the reorganisation and running of the kitchen during social events.
      • Chris Hendrikz with Bluedog for all our club’s internet solutions.
      • Gerald Fourie and Mila Fourie for organising a successful Club Champs 2026.
      • Adele and Kevin Wood for their contributions to the painting party to help paint the outside wall of the club.
      • Blaise Whitney, Shirley Bezuidenhout, Mila Fourie, Jessie Jenkins and Leigh Wood for their help with social events at and for the club.
      • Alison Bodenstein, Marc Hasenfuss, Anje Zeeman, and Ethan Seymour for their hard work with team selections for league.
      • All the sponsors who have contributed generously to the club’s finances.

Treasurer’s Report

2025/2026 was another good year for the club financially.

    • The club has a big financial surplus, which will fund repairs for recent storm damage to an estimated value of R40 000.
    • Visitor’s fees have increased to R73 000, thanks to a conscious effort by members to collect fees.
    • We are looking at a resurfacing and lights expense budgeted at R150 000, also largely funded by the surplus generated.

Approval of the budget and subscription fees for 2026/2027

The proposed budget is very conservative. Questions raised:

    • The budget for tennis balls has doubled: Ball usage has increased due to new members. The cost price has increased. Willie mentioned the possibility of finding a ball sponsor in the coming year.
    • The Capitation and Affiliation budget has decreased: Western Cape Tennis has decreased the fee from R370 per league player to R200 per member.
    • What the Security expenses are going towards: We changed security to Deep Blue, which is cheaper than the previous service provider. They provide an alarm and are on call for emergencies. The club is also contributing to cameras in the parking lot set up by the M.O.T.H. Hall.

Membership fees have increased by 4-7% for each category. Visitor’s fees have gone up to R80 per person per day.

Approval of the budget proposed by Duke Metcalf, seconded by Linda Whittle.

Membership Rules

A document of proposed changes to membership rules had been sent out before the meeting for discussion. The main points were:

    • Membership categories have been simplified, with the 70 and over/65 + 10 years changing to 65 and over.
    • Temporary members are not allowed to be former members of the club and are not permitted to play league or club champs.
    • Fees are due 30 June, and non-payment results in lapse of membership.
    • A R250 joining fee was instated for new and returning members.

The adoption of the changed rules was proposed by Shirley Bezuidenhout and seconded by Leigh Wood.

Constitution

Similarly, a document of proposed changes to membership rules had been sent out before the meeting for discussion. The constitution was simplified to contain fundamental stipulations, and changeable rules were moved to the Membership Rules document. No points were raised.

Approval proposed by Duke Metcalf and seconded by Ethan Seymour.

Election of the 2026/2027 committee

The following positions remain as for 2026/2027 with current members willing to restand and no nominations:

Tues/Thurs Ladies’ Morning League: Karen Starke
Additional member: Blaise Whitney

The following written nominations were received and elected as such:

    • Men’s Club Captain: Blaise Whitney
    • Ladies’ Club Captain: Jessie Jenkins

Additional points

Members were reminded not to park in front of the M.O.T.H. hall, as this space is covered by the M.O.T.H. hall lease and they have requested this arrangement.

There was a comment congratulating Willie on having so many young members of the club getting involved and serving on the committee.
